White Paper Writing Services: Researched, Sourced and Designed Like a Book

Our white paper writing services put a publisher's researchers, editors and designers on one document. Western Reflections Publishing is an independent house in Lake City, Colorado, and a white paper has to be believed by a skeptical reader who owes you nothing. Everything we do on the page is aimed at that reader. The quote is free, and you'll see the price before you commit to anything.

Why most white papers don't get read past page two

Most of them fail in one of three ways, and we've edited enough manuscripts to recognize each.

The brochure in a gray cover

A reader can spot a pitch by the second paragraph. If page one is spent praising the company that paid for the paper, it gets closed and forgotten. The paper has to open on a problem the reader already has, and it has to stay on that problem until the reader trusts you with it. Your product, if it appears at all, comes late and comes quietly.

Claims with nowhere to land

A market figure with no source. A "studies show" with no study. A chart whose numbers don't match the paragraph next to it. These read fine on the first pass and fall apart the moment a careful reader checks. It's the same thing that happens to a manuscript that never had a fact-check: nothing looks wrong until someone looks.

Good material, no argument

Your experts talk for an hour, someone transcribes it, and the transcript becomes the paper. Everything in it is true and none of it adds up to anything. A white paper needs one position that a reader can repeat to a colleague in a sentence. Without that, even accurate material reads as a pile.

The fix for all three is plain writing built on a clear question, and the US government's plain language guidelines put the standard simply: content that is clear and easy to understand. Our job is to get your expertise onto the page that way.

White paper, case study, ebook, blog post: which document do you need?

Ordering the wrong document is the most expensive mistake in this category, because you pay for it twice: once to write it and again to write the one you needed. So here is the short version, including the places we'll send you elsewhere.

What a white paper is

A white paper argues a position or proposes a solution to a problem. Purdue's writing lab describes the white paper as a genre used when writers argue a specific position or propose a solution, with readers who are looking for answers to their own problems. Our published price is for a paper of about 3,000 words. Your reader is deciding, not yet buying. If you want the longer explanation of types and formats, we've written it up in our guide to white papers and their different types.

Where it differs from the other documents
DocumentWhat it doesPick it when
White paperExplains a problem, weighs the ways to solve it and takes a positionThe reader has to understand before they decide
Case studyOne customer's story, told with their own resultsYou have a customer who'll speak and numbers to show
EbookTeaches, at length and in a looser voiceYou want a book-length guide; our ghostwriting team can write it
Article or blog postOne idea, written to be found or published under a bylineYou want a single piece, or bylined articles, or ongoing search content
Corporate documentsExecutive messages, internal communicationsThe reader is your own staff or board; see corporate writing

We write case studies too. We just don't write them here, because they're a different job with a different page.

What our white paper writing services include

You give us the subject, access to your specialists and whatever material you already have. We hand back a finished, designed paper. Between those two points:

Brief and thesis

We settle the reader, the question the paper answers and the one position it takes before any drafting starts. That means your goals, your audience and the point the paper has to prove.

Research and a source log

We gather the market and competitive sources and tag each one to the figure it supports. The log is how a number gets checked six months from now, when someone asks where it came from.

Expert interviews

We interview your specialists and capture what they say in their own terms, then turn it into prose a mixed readership can follow.

Outline, abstract and executive summary

The outline is the argument laid out in order. The executive summary is written last, once the paper says what it says, so it describes the paper that exists rather than the one you planned.

The full paper

Drafting follows the agreed argument, at about 3,000 words in the published price.

Charts, data callouts and citation formatting

Charts go in where they carry a point, with numbered sources at the back for the reader who wants to check.

Edit, fact-check and proofread

After drafting, the editor on your project reads the paper as a stranger would, tests the argument and checks every figure against the log. The proofread comes last, on the laid-out pages.

Design and layout of a branded PDF

The paper is laid out as a finished document, which the design section below covers.

Already have a draft? We edit and proofread existing papers too. We read what you have first and say honestly whether it needs light polish or a rebuild around a clearer argument.

Kinds of white paper we write

The label covers more ground than most people expect. These are the shapes we're asked for most.

B2B and problem-solution papers

These frame a buyer's decision: here's the problem, here are the ways of solving it, here is how to judge between them. The reader leaves better informed, whether or not they ever call you.

Technical papers

A technical paper explains how something works to a committee that includes engineers, managers and someone holding the budget. It has to satisfy the specialist without losing the generalist. For deeply technical content that runs under an expert's own byline, our technical ghostwriting page is the better fit; this page is for the white paper as a document.

Thought leadership and position papers

A point of view with evidence behind it. These are the papers where the thesis matters most and the sourcing has to be strongest, since the whole thing rests on the reader believing you.

Research and data reports

If you hold survey results, benchmarks or internal data, we can turn them into a proper report. We work from the data you supply and we don't manufacture figures to fill a gap.

Editing and design of an existing paper

Sometimes the writing is sound and the document just looks like a memo. We can edit, proofread and design what you've already written.

Whether to put a form in front of the finished PDF is your marketing decision, not ours. We'll only say that a paper has to earn that form fill, and the way it does is by being worth the reader's email address.

05

How a white paper project runs

We keep the method close to how a book moves through the house: a brief, a structure, a draft, then the checks. We don't promise calendar dates up front, because the timeline depends on how quickly your experts can talk to us and how fast comments come back.

Step 01
Brief and discovery

We start with your goals, the audience and the claim the paper must support. If you have existing material, we read a sample of it before we quote, and we tell you if the job needs an earlier stage than the one you asked for.

Step 02
Research and outline

The source log starts here. You approve the argument map before we draft, because changing an outline costs an afternoon and changing a finished draft costs a week. A reader who disagrees with your thesis will disagree with it at this stage too, which is a cheap time to find out.

Step 03
Drafting and review

The full draft goes to you for comment. Your revisions refine the language, the evidence and the visuals. This is also where the fact-check shows its work: every figure is tied back to the log, and anything we can't support is either sourced properly or cut.

Step 04
Fact-check, polish and delivery

A last fact-check, a proofread on the finished layout, and a clean, publication-ready PDF that's ready to gate, share or send.

06

Design handled to the same standard

A publishing house designs interiors and covers all year, so a white paper is no stranger to us. It's a designed object, and the design is part of whether it gets read to the end.

Layout a skimmer can use

Clear headings, pull quotes, a readable line length and type size, and a caption on every chart. A chart caption should state the point of the chart, not just repeat its title. A table with more than five columns is usually a design failure: if the reader needs a ruler to follow a row, the table needs splitting.

A branded PDF and what we hand over

The finished paper has a cover, an executive summary page, running heads and numbered sources, laid out in your brand's colors and type.

Need something heavier?

If the paper needs a standalone visual, we do infographic design. If it has to become a slide version for a meeting, see pitch deck design. Both are separate pieces of work and neither is part of the paper's base price.

07

What a white paper costs

The published price

Our whitepaper is from $2,200, at about 3,000 words: researched, sourced and designed, for a company that wants to be cited. That's the row on our published prices page. "From" means a starting price. It isn't a flat rate for every project, and it isn't a package.

What moves the price

Four things, mostly. Length beyond about 3,000 words. How much original research the paper needs, against how much you already hold. How many experts we have to interview. And how much extra design the paper calls for, such as a lot of custom charts.

Take two papers. One comes from a company that hands us a finished research report and two engineers for a conversation each. The other is built from nothing, on a topic where we have to find and weigh the outside sources ourselves. They're different jobs, so the quote differs, and we read a sample of what you have before we put a number on it.

How payment works

On our pricing page: "Editing, design and production are half on booking and half on delivery." And: "We do not ask for a full project fee up front." Your quote sets out how the payments fall on your paper.

08

Send us the subject and what you already have

Share the topic, the reader and any material you've got. We'll read it and tell you what the paper needs and what it'll cost, in writing, before anything starts.

09

Why a publisher writes your white paper

An editor reads every page

We publish books, and a book goes through a developmental pass, a copy edit and a proofread. A white paper is short, but the habit carries over: someone other than the writer checks the argument and the facts before it leaves the building.

Sources traced, not just listed

The source log means each figure can be checked later, by you or by your reader. A paper you can defend line by line is worth more than one that merely looks well referenced.

Writing and design under one roof

One team handles both. There's no hand-off between a writer and a freelance designer who've never spoken, which is where captions and callouts usually go wrong.

Fixed fee, NDA, one team

An NDA is signed before work starts. The fee is quoted up front and doesn't change when the work does, with no hourly billing and no surprise invoices.

10

Who this is for

Companies with expertise and no time to write it up

You know the subject better than anyone, and your calendar has no room for forty hours at a keyboard. We do the interviewing, research and writing while you supply the knowledge.

Teams with a draft that reads like a brochure

You already wrote something, and you suspect it isn't persuading anyone. We can edit it into an argument or rebuild it around one.

Teams with a report, survey or dataset that deserves a proper paper

The numbers exist. What's missing is the structure, the narrative and the design that make a reader finish them.

If what you need is really a case study, an article or a deck, we'll say so and point you to the right page. And if what you need is a lender-ready document, that's a business plan. We turn down work we can't do well and explain what the project needs instead.

11

Questions buyers ask before they hire a writer

Will you understand our subject?

We interview your experts and work from your material. We're writers and editors, not your engineers, and where a subject is deeply technical we'll tell you so at the start rather than guess our way through it.

Can we trust the numbers?

The source log is the answer. Anything we can't trace gets cut or flagged for you. We don't invent statistics, and we won't put one in your paper that we can't source.

Will it sound like us?

We write in your brand's voice, from the material you give us, and the review stage exists so you can correct tone as well as facts.

Who owns it?

It's a fair question, and it deserves an answer before you commit, from us or from anyone else you're considering. Put it in your first message and get the answer in writing before work starts.

What if you aren't the right fit?

Then we'll say so. The honest no is part of how a publishing house works, and a clear one now saves you money later.

Frequently asked questions

Questions we get asked

What is white paper writing?

It's the writing of an argued, sourced business document that explains a problem and takes a position, for readers who are deciding rather than buying. A writer does the research, interviews your experts, builds the structure, drafts the paper and checks the facts. It isn't brochure copy with a longer title.

How much does a whitepaper cost?

Our whitepaper starts at $2,200 for about 3,000 words, researched, sourced and designed, as published on our pricing page. That's a starting price. Length, the amount of original research and any extra design move it, and the quote is free once we've read what you have.

Can I pay someone to write my white paper for me?

Yes, for a company document. Ghostwritten business papers are normal, and the paper goes out under your company's name. Interviews with your people and your review of the draft keep it your own voice. We don't write academic or school papers, only business white papers and reports.

How much does it cost to have someone write a research paper?

We don't write academic assignments, so we can't give an academic rate. If you mean a data-driven research report for a company, that falls under our whitepaper work, and the price depends mostly on the data you can supply and the amount of research still to be done.

How long should a white paper be?

Ours run about 3,000 words in the published price. The right length is whatever the argument needs. A paper resting on a lot of original data may run longer, and one that supports a single decision can be shorter. George Mason University's Writing Center notes that policy-focused papers alone can run from 5 to 50 pages.

What should a white paper include?

An executive summary, background, a clear description of the problem, the solutions weighed against each other and a conclusion, with sources the reader can check. George Mason University's Writing Center on audience, purpose and structure describes that problem-solution shape. Add charts only where they carry a point.

Are white papers worth it?

They're worth it when your buyers research before they decide and you have real expertise or data to share. They're a slow credibility asset, not a quick campaign. We make no promise about leads, conversions or rankings, because what happens after the paper is published depends on how you use it.

Do you offer free white paper writing services?

No, the writing itself is paid work. The quote is free, though, and we read a sample of your material before we give it to you, so you'll know the price before you commit to anything.

Who owns the white paper once it's finished, and do you sign an NDA?

We sign an NDA before work starts. On ownership of the finished paper, ask us directly in your first message and get the answer in writing before you agree to anything, so there's no surprise at the end.
