Grant Writing Services for Nonprofits, Researchers and Small Businesses
A good idea doesn't win a grant by itself. Reviewers score what's on the page, and they score it against the funder's own criteria. Our grant writing services give you a proposal built for that scoring: the funder research, the narrative, the budget and the formatting, written by a person who reads the guidelines line by line. Pricing starts at $1,800 per application.
Who's behind your proposal
We're Western Reflections Publishing, an independent house in Lake City, Colorado, publishing since 1996. Our trade is the written word, and a grant proposal is persuasive writing that deserves the same care we give a book.
- A signed NDA before work starts
- Your organization and your material stay yours
- A fixed fee quoted up front, never a cut of the award
- Phone and email answered by people who know your file
Why grant applications get turned down
Most weak proposals fail for ordinary reasons. The need is stated in broad terms. The plan doesn't match the funder's priorities. The budget says one thing and the narrative says another. Or the application breaks a page limit, a font rule or a required attachment, and the reviewer never reaches the good part.
Funders also read dozens of applications in a sitting. A proposal that answers each scoring question in the order asked is easier to score well, and easier to say yes to.
We can't control what a funder decides, and nobody honest can. What we can control is whether your request is clear, specific, complete and in the right format when it arrives.
What our grant writing services include
You don't have to buy everything. Tell us which stages you need and we'll quote those.
Funder research and prospect identification
We look for funders whose stated priorities line up with your work, then read their guidelines, past giving language and eligibility rules. You get a short list worth your time.
Letters of inquiry and concept notes
Many foundations ask for a short letter before they invite a full application. We write it to earn the invitation.
Proposal narrative and case statement
This is the core: the need, your approach, your team, your outcomes and a realistic timeline, written to the funder's own headings and scoring sheet.
Budgets and budget justifications
We prepare an itemized budget and the narrative that explains each line, so the numbers back up the story. You supply the real costs; we make sure they add up and are explained.
Logic models and outcome frameworks
Funders like to see how activities lead to results. We map yours clearly and keep the claims modest enough to defend.
Editing and proofreading of drafts you've already written
Already have a draft? We'll edit it against the guidelines, tighten it and proof it. This stage can stand alone.
Federal and government applications
Government packets come with dense instructions. We structure the response to match the review criteria point by point and follow the formatting rules exactly.
Reporting support after an award
If you're funded, we can help write the progress and final reports the funder expects.
Tell us about the project
Send a few details about grant writing services and a person on our team will reply with a fixed quote. You'll know the price before any work begins.

Grants we write for
Every funder wants something a little different, so the writing changes with the audience.
Nonprofit and foundation grants
Foundations want impact they can picture. We help you describe programs, define outcomes and tie each dollar to a result, in your organization's own voice.
Federal, state and local government grants
Compliance matters as much as content here. A missed required section can sink an otherwise strong application, so we work from a checklist built from the notice itself. You can browse open federal opportunities at Grants.gov and bring us the ones you want to pursue.
Research and academic grants
Panels often mix specialists and non-specialists. We shape your aims, methods and significance into an argument both can follow, without flattening the science.
Small business and startup grants
Funding for for-profit companies is narrower than most founders expect. The U.S. Small Business Administration says plainly that it doesn't provide grants for starting or expanding a business, though some programs, such as export grants, do exist through states. We'll help you find programs that truly accept businesses, and we won't write to one that doesn't.
Corporate giving programs
Corporate funders look for a genuine fit with their stated values. We write the request so the match is easy to see.
How the process works
Four steps, kept simple.
We learn your organization, project and goals, read a sample of what you have, and look at the funder's guidelines. If the grant isn't right for you, we'll say so then.
Before drafting, we map each section to the review criteria. You see the blueprint and can correct it cheaply.
We write the full proposal and send it for your review. Your notes shape the revisions to the language, evidence and budget.
A careful proofread and a compliance check against the guidelines, then a clean, submission-ready file.
The funder's deadline sets the schedule, so send us the guidelines as early as you can. A tight window leaves less room for research and revision, so it's worth telling us the date at the first call.
What grant writing costs
Grant proposals start at $1,800 per application, according to our published pricing, and that covers a proposal written against the funder's own criteria, with the budget narrative. It's a starting price, not a flat rate.
What moves the final number is the application itself. A short foundation request with a few questions sits near the starting price. A long federal packet with many attachments, a large budget or a lot of required forms takes more writing time and costs more. We read the guidelines before we quote, and the number you're quoted is the number you pay.
We don't sell packages, so you pay only for the stages you need. We don't ask for a full project fee up front, and payment terms go into your quote. If you want the numbers beside our other services, see the full pricing page.

Why work with Western Reflections
Our editorial board reads every manuscript that comes in, so we know what a tired reader wants: clear sentences, honest claims and the point made early. Reviewers are readers too.
One writer, one editor and one project manager stay with your proposal from first call to final file, so you're never retelling your story to someone new. And if something isn't a good use of your money, we say so. That can mean recommending a smaller scope, a different grant or a pass on the application altogether.
Your material and your organization's name stay yours. We write; you submit.

Is this right for you?
Grant writing is a fit if you have a real project, a funder worth pursuing and a deadline you'd like to meet with confidence.
It may not be a fit if you haven't chosen a funder and expect us to guarantee a win. Here's what we don't do:
- We don't promise that a grant will be awarded. The funder decides.
- We don't submit on your behalf or manage your registrations. For federal funding, getting registered at SAM.gov is your task, and it can take a while, so start early.
- We don't invent numbers, outcomes or partners. If a fact isn't real, it doesn't go in.
- We don't take a percentage of an award.
Need other documents to go with it? A business plan, a business proposal or a pitch deck often travel alongside a funding request, and our corporate writing team keeps the voice consistent.

Questions we get asked
What is the average cost of a grant writer?
It varies a lot. Some writers bill hourly, some per project, and some ask for a share of the award. We charge a fixed fee per application, starting at $1,800, set after we read the funder's guidelines. Length, attachments and budget size decide where it lands.
Can I use ChatGPT to write a grant proposal?
You can use it to brainstorm or tidy sentences, but it doesn't know your organization, your real numbers or the funder's scoring sheet. It can also state things that aren't true. Some funders ask about AI use, so check the guidelines and have a person verify every fact.
Can an LLC get grant money?
Sometimes, but options are narrower than for nonprofits. Many grants go only to nonprofits, schools, governments or researchers. Certain research, innovation and local economic development programs do accept businesses. We check eligibility with you first.
Is grant writing still in demand?
Yes. Funders keep issuing calls for proposals, and most organizations have more ideas than staff hours. A skilled outside writer saves your team time, though it can't change what a funder chooses to fund.
Do you offer government grant writing services?
Yes. We write federal, state and local applications, working from the notice and its review criteria. You handle the registrations, and we handle the narrative, budget justification and formatting.
How long does it take to write a grant proposal?
It depends on the funder's deadline and the length of the application. A short foundation request needs less than a federal packet with attachments. Give us the guidelines and your due date, and we'll tell you what fits before you commit to anything.
Do you offer free grant writing services?
No. Our work is paid, and proposals start at $1,800 per application. The quote is free, and it comes with an honest read on whether the grant is worth pursuing.
Can you work with me if I'm not in Colorado?
Yes. We're based in Lake City, but we work with clients across the country by phone, email and shared documents, so you don't need to be near us.
